Job Summary

The Coordinator – Materials and Logistics is responsible to administer logistics and trade compliance function and its requirements to ensure highly efficient and effective cargo movement for Global Operations including rig moves, marketing support, intermediaries and new country set ups. Also documenting, processing and recording material management transactions.

Principal Duties and Responsibilities
  • Administers the company’s import / export compliance program. Working under the supervisor Angola to ensure controls are in place that comply with the company’s legal and regulatory obligations.
  • Provides assistance whatever it can be, emergency shipments, customs questions, missing supplier documents or information, to avoid the loss of time due to time difference with Europe, Dubai, Brazil or Singapore.
  • Mobilizes and manages internal and external logistics resources to ensure on-time and accurate deliveries of required materials at lowest total system cost. Monitors worldwide Import / Export operations.
  • Provides responsive logistics services for emergency situations.
  • Manages local vendor relationship management practices for logistics providers.
  • Identifies inefficiencies and areas of growth within current distribution network to continuously improve the balance between the level and cost of service. Manage and reduce logistics cost via freight rate benchmarks, freight consolidations opportunities, process flow reviews and assist with annual freight rate negotiations.
  • Monitors market trends and freight / shipping indices; ensure company benefits adjustments in market pricing.
  • Responsible for maintaining daily follow-up of Export & Import files and insure efficient, cost effective and timely delivery of the material to the final destinations.
  • Involved with Rig’s mobilization and demobilization between countries / states / projects in terms of customs, logistics when requested and assist with their implementation.
  • Controls documents necessary for the importation and for exportation in the various countries (Invoices + Packing list + Certificates of origin etc) interfacing with freight forwarders / carriers / suppliers and procurement departments & Valaris bases worldwide.
  • Assists the operational departments and rig sites to finding alternate logistic solutions.
  • Interfacing for all kinds of issues between forwarding agents / shipping agents / customs brokers / packers / carriers / suppliers / rig sites or area offices / corporate office.
  • Audits the fields regarding the record keeping of Customs Import and Export documents and their compliance with local regulations.
  • Follows Customs rules and regulations are complied with for each supplier delivering equipment for shipment.
  • Provides assistance and follow-up for all equipment Imported under the Temporary Importation Status
  • Coordinates with Trade compliance department and makes sure that all equipment is 100% in line with Customs and Tax rules and regulations.
  • Coordinates the transport of major equipment, from supplier to warehouse or rig and also from the rig to the supplier or warehouse.
  • Coordinates the movement of equipment from storage or the supplier to the Freight Forwarder for export to foreign locations.
  • Tracks major equipment warranty returns and ensure that equipment reaches the final destination.
  • Travels to company domestic locations to conduct warehouse and yard inventory audits.
  • Available for after-hours/weekend/holiday calls for Supply Chain support.
Qualifications / Experience
  • Minimum 2 years of Materials / logistics experience
Skills & Experience
  • Be available and willing to travel to such locations and with such frequency as the employer determines is necessary or desirable to meet its business needs.
  • Ability to gather and analyze/synthesize data, confirming its accuracy and adequacy as an integral part of the collective analysis/synthesis process.
  • Excellent written and verbal communication skills and fluency in English / Portuguese. Ability to communicate effectively across different levels of organization, departments as well as across different cultures.
  • Solid understanding of the legal aspect of purchasing, including standard Purchase Order Terms and Conditions, Incoterms, and trade compliance requirements of suppliers for import and export transactions
  • Demonstrated leadership and negotiation skills with ability to influence others and effectively lead and resolve contractual issues.
  • Knowledge of drilling equipment for offshore drilling environment, including knowledge of key suppliers, industry specifications and standards.
  • Ability to respond quickly and appropriately in a dynamic high charged work environment.
  • Ability to understand and interact with diverse groups and cultures.
  • Ability to multi-task and establish priorities.
  • Proficiency in Microsoft Excel at an advanced level (use financial and logical functions; work with multiple worksheets and workbooks; edit and use macros; import and export information).
  • Ability to manage different logistic projects at the same time and meet deadlines.
  • Ability to maintain organization in a changing environment.
  • Ability to multi-task and establish priorities.
  • Maintain flexible attitude and approach towards assignments and successfully operate under ambiguous guidelines.
  • Work effectively alone or as part of a team on projects.
  • Committed to a high standard of safety and will and able to comply with all safety laws and all of the employer’s safety policies and rules. Must be willing to report safety violations and potential safety violations to appropriate supervisory or management personnel.
